This is the process of registering an individual who will handle a property that was once owned by a deceased person on behalf of the beneficiaries of the property.
To begin the registration process, open your preferred web browser and visit the website https://ardhisasa.lands.go.ke/
1. Enter your Ardhisasa ID or national ID number, along with your password. Click on Continue to proceed. You will receive a one-time password (OTP) on your registered phone number. Enter the OTP in the designated box and click Login. This will take you to the dashboard.

2. On the dashboard, you will find various services listed under different departments of the Ministry of Lands and Physical Planning. Since you are initiating this process as an advocate, switch to your Advocate account. Click on the profile icon, and from the dropdown menu, select your professional account that has been approved for you as an advocate.

3. Navigate to the land registration section. Look for the Transfer option and click on it. This will lead you to various transfer services. Among the transfer services listed, locate the option for Registration of Personal Representative as Executor or Administrator (form LRA 39) and click on it.
4. On the applications page, you will find different tabs, including Pending, Ongoing, Completed, Rejected, and Canceled. These tabs will list all the applications you have initiated as an advocate. To start a new application, click on the New Application button located at the top right-hand corner of the page. Before proceeding with the application, you will be presented with frequently asked questions (FAQs) specific to the registration of personal representatives as executors or administrators. Explore these FAQs to gain a better understanding of the application process, including the actors involved, requirements, payments, and necessary documents. Once you are satisfied, click on Next.
5. Enter the relevant personal details of the applicant. This includes the parcel number in the format registry/blog and the block number without any spaces, followed by the parcel number. Click on Next to proceed.
6. Enter the Ardhisasa ID of the transferor and click on Search. A pop-up box will appear, asking you to select the category of the person executing the transferor. You can choose between the transferor executing on their own behalf or an attorney executing on behalf of the transferor. If selecting the attorney option, enter the power of attorney entry number in the specified format and click on Search. If the attorney is not registered on Ardhisasa, enter their Ardhisasa ID as well. Click on Save.
7. Select the registration status of the deceased person. If the deceased was registered on Ardhisasa, select the first option and enter their Ardhisasa ID. Click on Search to retrieve the details. If the deceased was not registered, select the second option and enter their name and identification type, such as their ID number. Click on Next to proceed.
8. Enter the Ardhisasa ID of the transferee, who must be registered on Ardhisasa. Click on Search to retrieve the details. If you need to change the initial transferee, click on the Remove button and enter the correct Ardhisasa ID of the transferee.
9. Enter the date of the Grant of Will or the date for Grant of Letters of Administration. Depending on whether the deceased made a will or not, choose the appropriate date. You will also need to select the nature of interest being transferred, such as leasehold or freehold. Once you have confirmed the details, click on Next.

10. Add any information or provisions that the transfer is subject to, you can add them in this section. Provide the necessary details and click on Next to proceed.
11. Enter the details of the law firm under which you are acting. If the law firm is registered on Ardhisasa, enter the law firm’s ID and click on Search to retrieve the details automatically. If the law firm is not registered, manually enter the name, physical address, postal address, phone number, and email address of the law firm. Website and street address fields are optional. Click on Next to proceed.
12. Upload the necessary documents. The mandatory documents include the death certificate and the grant of probate. Click on the Choose File button to upload the scanned and certified copies of these documents in PDF, PNG, or JPEG format. If you have any additional supporting documents, you can upload them as well. Once you have uploaded the required documents, click on Next.
13. Review all the details you have provided throughout the application. Scroll through the page and ensure everything is accurate. If you are satisfied, click on Submit to submit the application. You will be prompted to confirm the submission, and upon confirmation, you will receive a pop-up message confirming the successful submission. Click on Close to complete the process.
Once the transfer process has been initiated, both the advocate and the parties involved receive notifications via SMS and email. These notifications serve to communicate that the transfer process has been initiated successfully. The advocate and the involved parties are made aware that progress has been made towards the registration of the personal representative.
Upon receiving the notification, the advocate is required to confirm the application and provide their signature to represent the party involved. The advocate clicks on the accept button in the execution section and is prompted to approve their representation of the party. By clicking on accept, the advocate accepts the responsibility and notifies the involved party that they will represent them throughout the transfer process.
The involved party is then notified to verify the application and provide their consent for the advocate’s representation. Upon logging into their Ardhisasa account, the involved party navigates to the notification bell on the screen’s top right-hand corner. They will find a notification prompting them to verify the application. To authorize the advocate’s representation, the involved party clicks on the “Get OTP” button to receive a one-time password (OTP) on their registered phone number. The OTP is entered into the designated OTP prompt box for verification.
Once the application is verified, the involved party is required to append their signature. Ardhisasa offers various options for signing.
After the involved party has verified and provided their signature, the advocate logs into their Ardhisasa account to submit the application. The advocate navigates to the notification tab and opens the transfer application. The submit request button becomes active, allowing the advocate to proceed with the submission. By clicking on the submit request button, the advocate affirms their intention to submit the application. A confirmation notification appears, stating that the application has been submitted successfully.
